Overview
Auto Messages and Reminders are an essential part of Clientbook. They allow you to reach customers with a pre-drafted message, or receive a reminder to follow up with a customer using a personalized message. Auto messages and reminders are used with all automation types within Clientbook. However, this article will be most applicable to Opportunities, Activities, and Tags).
This article will walk you through how to navigate the different features and setup options associated with these auto messages and reminders.
Activity Type
To create a new auto message or reminder you'll first need to navigate to the correct automation page.
- Login to the Clientbook Dashboard & navigate to the "Setup" Page
- Locate the "Clients" dropdown for:
- Life Events
- Tags - Locate the "Sales" dropdown for:
- Sales Triggers
- Sales Opportunities
- Client Activity

Create
Auto Message: Once you know which activity will trigger your auto message you're ready to begin creating!

Content: Write whatever you want here! - We recommend utilizing the placeholders available to make your message seem more personable.
- Client Name: This will insert the client's first name, or their preferred name if applicable.
- Assigned Associate: This will insert the first name of the associate assigned to that client.
- Review Link: This placeholder will insert the "review link" listed in your store settings.
- Store Name: This will insert the name of your client's preferred store!

Frequency: Input the time frame for when and how often this message should be sent out. - If the "Repeats" box is not selected the message will only send one time.

Hit Save!
Reminders: Once you know which activity will be triggering your auto message you're ready to begin creating!

Reminder Name: This should be a short description that will easily clue your associates into the task! - For example, if you want your associate to call a potential customer you could name your reminder "Call Follow Up"

Frequency: Input the time frame for when and how often this message should be sent out.
- Repeats: If the "Repeats" box is not selected the message will only send one time.
- Expire: You can also choose to have the reminder "expire" - This will cause it to be deleted if not done before a certain date/time frame.

Hit Save!

Message Template: If you'd like to add a message template for your associates to use when completing this reminder you'll need to re-enter the activity, scroll to the bottom, and hit the "Message Template" button.

Create your Template & Save: You'll have the same placeholder options here as you did when creating an auto message (see above).
