Tags are a useful tool for the categorization and segmenting of your client database. They can also be used to help queue up reminders or automatic messages to send out to the customer. Adding automation is very easy and can help you connect with customers at future intervals, allowing you to focus on other things in the meantime. Here is what you need to do to get it set up:
- Log in to Clientbook under Admin access. Click on the Setup tab at the top of your dashboard.
- Click on the Clients dropdown, and select Tags.
- Once on the Tags page, you can choose an existing tag, or create a new tag using the Add Tag feature in the top right corner of the page.
- Once you've clicked into a tag, you can now choose between an auto message or reminder.
- For an Auto Message, you can select: when you would like the message to be sent out, and if you would like it to repeat or not. Outside of those options, you just need to type out the auto message you would like to be sent out. Feel free to include our autofillers like Client Name to include the first name of the client into the text they receive.
- Once your done drafting your message and have chose the time structure of your message, don't forget to hit Save.
- When Choosing a reminder, you will: choose a name for said reminder, choose the time frame for when it is sent out and whether or not it repeats, and finally you can choose when this reminder expires. That is an optional feature, but you can choose to have a reminder expire and be deleted after a certain amount of time.
- Once you've saved your reminder, it will take you back to the main page of that tag. You have the option to click back into the reminder and add a template for that message.
- The template will then be accessible in the templates button of the customers text thread, when going to complete this reminder. The team member can then input the template, and make any edits or choose to send as is. Draft the template you would like to have attached to the reminder, and click Save.
**Disclaimer: When adding an automated message to a tag, and then doing a tag upload of several hundred clients, you can "technically" bypass the regulations of mass messaging. This isn't without consequence however, as abusing this feature can result in your number being blocked or having your business' messaging capabilities temporarily revoked. We strongly recommend utilizing Mass Messaging for any event or marketing purposes.
Best Practices:
Here are some of the typical use cases we will see for tag automations:
For Jewelers, putting a tag on the customers profile with a 6 month auto message prompting the customer to come in and have their jewelry cleaned.
For a Music Store, putting a tag with an automated message to be sent out a year after purchase offering a complimentary check and tune for the instrument they purchased.
For a Bra Store, putting a 12 month reminder on a tag so that you are reminded to send a personalized message a year after the customers last bra purchase to come back in for a resizing/look at new inventory.
