Managers and Admins can delete an associate's profile from Clientbook through the Dashboard. When you delete an associate, you will have the option to reassign their clients to another team member so nothing falls through the cracks.
Before You Delete: Tips to Prepare
Before removing an associate, consider the following steps to keep your data organized:
Tag the associate's clients for future reference. If you want an easy way to identify which clients used to belong to a specific associate, add a tag (such as the associate's name) to all of their clients before deleting the profile. This gives you a simple way to filter and find those clients later. For help with tagging, see How to Upload Tags to Client Profiles.
Decide how you want to reassign the associate's clients. During the deletion process, Clientbook will ask you to choose one associate to receive all of the departing associate's clients. If you need to split those clients across multiple associates instead, see How to Split a Departing Associate's Clients Among Multiple Associates for a full walkthrough.
Steps to Remove an Associate
- Log in to the Clientbook Dashboard (Desktop).
-
Click the Setup tab, then click the Setup dropdown and select Associates.
- Search for the associate you want to remove. Click their name.
-
Click Edit Associate.
-
Click Delete Associate
-
A pop-up will appear asking if you want to reassign this associate's clients to another associate. Select the associate you want to reassign clients to, then click Confirm.
The associate's profile will now be removed from your list.
What Happens After Deletion
The associate's profile is permanently removed from Clientbook. If you chose to reassign clients, all of those clients will now appear under the new associate's client list, along with any open sales opportunities and reminders tied to those clients. For more on how opportunity reassignment works, see Reassigning Sales Opportunities.
If the departing associate had access to a store location that the new associate does not, the clients will still be reassigned successfully. However, if your account has the "Limit Associate Visibility" setting turned on (available on the Elite plan), the new associate may have trouble searching for those clients in the app. The clients will still be assigned, and messages from those clients will still appear in the new associate's inbox. For more about this setting, see Advanced Associate Permissions.
Need to Reassign Clients to More Than One Associate?
The built-in deletion flow only allows you to reassign all of a departing associate's clients to a single associate. If you need to split those clients across multiple team members, you have two options:
- Do it yourself before deleting: Use the bulk reassignment feature to move clients to different associates ahead of time, then delete the associate profile afterward. See How to Split a Departing Associate's Clients Among Multiple Associates
- Contact support for help: If you have any questions or need additional guidance, contact our Customer Support Team at support@clientbook.com.
