Overview
Merchant Login is a feature on the Clientbook iOS and Android app that lets multiple associates share a single device (such as an in-store iPad) without entering their full email and password each time. Instead, each associate logs in using a short four-digit PIN.
This is especially useful for retail teams that keep a shared iPad at the counter or on the sales floor. Rather than signing in and out of individual accounts throughout the day, associates can quickly switch between users in just a few taps.

Important: Merchant Login with a PIN is currently only available on iOS (iPhone and iPad) or on Android devices. It is not available on the Clientbook Dashboard (Desktop). |
What You Will Need
Before an associate can use PIN login, two things need to be in place:
1. Your store's App Account Info (license key and password). An Admin or Manager can find this in the Dashboard under Setup > General Settings > App Account Info. For a full walkthrough of that page, see How to Customize Your Store's General Settings.
2. A PIN set up for each associate who will use this login method. An Admin or Manager assigns the PIN when creating or editing an associate profile. See the instructions below.
How to Set Up a PIN for an Associate
PINs are managed from the Clientbook Dashboard (Desktop) by an Admin or Manager.
When Adding a New Associate
1. Log in to the Dashboard and go to Setup > Associates.
2. Click Add Associate.
3. Fill out the required fields (Name, Email, Store Access, Role).
4. Click Save.
5. Click on the associate's name to open their profile.
6. Update the Change Pin field with a unique four-digit number.
7. Click Confirm.

When Updating an Existing Associate
1. Log in to the Dashboard and go to Setup > Associates.
2. Click on the associate's name to open their profile.
3. Update the Change Pin field with a unique four-digit number.
4. Click Confirm.

How to Log In with a PIN on the Clientbook App
Once the PIN has been set up for each associate, here is how to use Merchant Login on a shared device:
1. Open the Clientbook app on the iOS or Android device.
2. On the login screen, tap Log in with License Key.
3. Enter the store's license key and password (this is the shared App Account Info, not an individual associate's credentials).
4. Select your store from the list.
5. Select your name from the list of associates.
6. Enter your four-digit PIN.
7. You are now logged in and can use Clientbook as your own account.
When the next associate needs to use the device, they can log out and follow the same steps, selecting their own name and entering their own PIN.
Frequently Asked Questions
Where do I find my store's license key and password?
An Admin or Manager can find these in the Dashboard under Setup > General Settings > App Account Info. Note that this is the shared account login for the store, not an individual associate's email and password. See How to Customize Your Store's General Settings for more details.
Can associates set or change their own PIN?
Yes. If an associate wants to update their PIN, they'll have to do it from the app. Click Profile > Settings > Change Login PIN. PINs are also managed by Admins and Managers through the Dashboard. If an associate needs their PIN changed, they can ask their Admin or Manager to update it in their associate profile under Setup > Associates.
Is PIN login the same as my regular Clientbook password?
No. Your PIN is a separate four-digit code used only for Merchant Login on a shared iOS or Android device. Your regular Clientbook login uses your email and password. If you need to reset your regular password, see How to Reset an Associate's Password.
Can I use Merchant Login on the Dashboard (Desktop)?
No. Merchant Login with a PIN is only available on the Clientbook iOS and Android app. On the Dashboard, each user logs in with their own email address and password.
Troubleshooting
"Invalid PIN" or unable to log in with PIN
- Confirm that a PIN has been set up for the associate. An Admin or Manager can check this in Setup > Associates on the Dashboard.
- Make sure the correct store is selected. The associate must be assigned to the store they are selecting during login.
- Verify that the license key and password being entered are correct. These can be found under Setup > General Settings > App Account Info in the Dashboard.
Associate's name does not appear in the list
- The associate may not be assigned to the selected store. An Admin or Manager can check and update store assignments in Setup > Associates on the Dashboard.
- The associate's profile may be inactive or not yet created. See How do I add a new associate to Clientbook? to add them.
App is not loading or showing errors
