Occasionally, you may receive a message in your Clientbook inbox from an "unknown number." Unlike messages linked to a client profile, these will display only the phone number instead of the client’s name.
Steps to Take for "Unknown Number" Messages
-
Create a New Client Profile
- If this is a new client who is not already in your system, select the option to create a new profile.
- Enter the client’s details, such as their name and any other information you have.
- Save the new profile, and the message thread will now be linked to it.
-
Merge into an Existing Profile
- If you recognize the phone number as belonging to an existing client, choose the merge option.
- Use the search bar to find the client’s existing profile.
- Confirm the merge to link the phone number and the message thread to the correct client profile.
-
Delete the Thread
- If the number is invalid, spam, or doesn’t need to be addressed, you can delete the message thread.
- This action removes the thread from your inbox entirely.
Best Practices for Managing Unknown Numbers
- Verify the Number: Before taking action, double-check the phone number to ensure it’s not associated with an existing client.
- Maintain Accurate Records: Always add meaningful details to new or merged profiles to keep your client database clean and organized.
- Delete with Care: Only delete threads when you're sure the number is unnecessary or irrelevant to your store.
By handling "unknown number" messages promptly and effectively, you can ensure seamless communication and maintain an organized inbox.
