If you would like to bulk add Clients to Clientbook, this article will walk you through getting those added. To ensure a successful upload, your client list must be in a .csv format. Below are the steps and guidelines to help you prepare and upload your data efficiently.
Preparing Your Client List

File Format: Ensure your file is in a .csv format.

Data Fields: Your file can include any or all of the following supported fields:

Name

Phone Number
-
Email Address
-
Birthday
-
Anniversary
-
Mailing Address
-
Preferences (e.g., sizes, colors)

Unique POS Reference Number
Tip: If a POS reference number is provided, Clientbook will match and merge existing profiles using this number. Profiles are also merged automatically based on matching phone numbers and email addresses. If no matches are found, a new client profile will be created.

Headers: Make sure your .csv file includes headers that clearly label the sections corresponding to the above fields.

Records: Your file should have one record per row.
- Multi-Location Accounts: Make sure to split up your file uploads by store

Uploading Your Client List

Log In: Log into your Clientbook dashboard.

Navigate to Setup: Go to the Setup section.

Select Data Upload: At the bottom of the Setup menu, click Data and then select Upload.

Click on the Upload button next to the Upload Clients section. Important: To avoid data duplication, the Client upload feature is not available for users with point of sale integrations. However, Tag and Product uploads are still available, regardless of integration status. This is to prevent duplicate data being created in Clientbook as well as the point of sale.
- Multi-Location Accounts: From the popup dropdown, select the store that you'd like the clients in the file to be assigned to

Upload Your File: Choose the .csv file you want to upload.
Mapping and Verifying Your Data

Map Columns: After uploading, you will be prompted to map your spreadsheet columns to the corresponding data points in Clientbook.

For example, match the “Phone Number” column in your file to the “Phone” field in Clientbook.

Clean Up Data: Review the data to ensure accuracy. You can mark any columns as Ignore or incomplete data before finalizing.

Finalize: Once your columns are correctly mapped and the data is verified, click Next to proceed.
Completing the Upload

Confirm: Review the final preview of your data and confirm the upload.

Success: Your client list will now be uploaded to Clientbook. Existing profiles will be updated, and new profiles will be created as needed.
