Overview
This article explains the rules and processes for assigning associates to clients within Clientbook. Our approach is designed to allow flexibility in managing client relationships, ensuring associates can maintain their focus on the clients they are responsible for.
Key Points:
1. Single Associate Assignment Per Client
Each client can only have one associate assigned to them at a time. This ensures clarity in client management and prevents overlaps in responsibilities.
2. New Clients entered into Clientbook
When a client is created in Clientbook, they will be assigned to the associate who entered them.
3. How Associates Are Assigned if you are NOT using a point of sale integration
If you are not using a point-of-sale integration, associate assignments must be changed manually.
You can either:
- Assign clients individually.
- Collaborate with your Customer Success Manager (CSM) or support team to bulk-assign clients to associates.
4. How Associates Are Assigned if you ARE using a point of sale integration
If you are using a point of sale integration, clients who make purchases and are not already assigned will be assigned to the person that completed transaction. These automatic assignments will only happen if you map your associates in Clientbook with their Point of Sale IDs.
For bulk assignments, we can request that we assign clients by analyzing sales history. In this process, the associate with the highest total sales amount to that client over the past two years is automatically assigned to them. Reach out to your Customer Success Manager to request that we update your assignments.
Assigning Clients Individually:
Associates: As an Associate Clientbook user, you can assign yourself to any client that is currently marked as "unassigned". You can also unassign yourself from your clients.
Admins & Managers: As an Admin or Manager Clientbook user, you can assign yourself, but you can also unassign and assign your associates to their clients.
- Navigate to your client's profile & locate the "Assigned Associate" section.
- Click the "Edit" button & select your name, or the name of the associate you want to assign, from the dropdown. - You will also have the ability to choose "unassigned" from this dropdown.
- Hit save!
